Import Operations Coordinator

Our client, a leading wholesale air freight importer, is seeking an Import Operations Coordinator to join their collaborative and fast-paced team in Botany. This hands-on role is perfect for someone with some freight forwarding experience who's ready to build their career in international logistics.

This role will be paying $38.00 - $40.00 per hour + Super and will be for a minimum of 6 months, with potential to move permanent for the right candidate.
You’ll play a key role in ensuring the smooth handling of inbound air freight, with responsibilities spanning customer service, data entry, reporting, and coordination between transport, warehouse, and airline contacts. This is a high-volume email and customer-facing role and would be suited for someone who thrives on organisation, multitasking, and clear communication.

This role operates on a 7-day rotating roster that WILL include weekend work (overtime and penalty rates will apply):

  • Monday to Friday: 8:30am – 5:00pm (In Office)
  • Saturday: 6:00am – 12:00pm (In Office)
  • Sunday: 6:00am – 10:00am (In Office)
 
About The Role -

Customer Service and Communication:
  • Respond to client emails and phone queries (including from group landline)
  • Manage and maintain email records (high-volume inbox: up to 300+ per day team-wide)
  • Follow up on deliveries, provide updates and solutions to clients
Operations and Coordination:
  • Track and process air freight shipments using in-house systems (Integrated Cargo System – ICS familiarity is required)
  • Check flight info, cargo availability, and cross-check against reports
  • Process and invoice import jobs within 24 hours of arrival
  • Liaise with internal and external individuals (airlines, terminal operators, and warehouse staff)
Data Entry and Compliance:
  • Capture shipment data accurately and maintain up-to-date records
  • Run daily freight reports and follow up on any delays
  • Maintain accurate customer records and update billing promptly
  • Adhere to customs, quarantine, and aviation security procedures
  • Report damaged or missing cargo immediately
  • Follow company policies, and workplace health and safety rules
 
What We’re Looking For?
  • MUST HAVE strong experience in the same/similar role
  • MUST BE open to the 7 Day Rotating Roster (Weekend/Public Holiday Work)
  • MUST HAVE Unrestricted and Full-Time Working Rights
  • Strong communication and interpersonal skills
  • Solid admin and email handling experience in a fast-paced environment
  • Intermediate Excel AND Integrated Cargo System (ICS) skills
  • Ability to understand basic customs clearance processes
  • Strong sense of urgency and attention to detail
  • Valid driver’s licence and access to a car preferred
